Guide for clients of agencies and freelancers

With guest role, clients keep ownership of their Workspace while securely inviting a guest (i.e., an agency or freelancer) to collaborate for free. No need to share passwords or transfer sites back and forth –– agencies and freelancers can just join your Workspace as a guest. Guests will receive access to sites in your Workspace but won’t be able to access confidential Workspace settings. Learn more about guest role.

How to accept a guest request

Your freelancer or agency guest can also send you a request for access to your Workspace, instead of you having to invite them. Once they send the request you’ll be notified by email. You can follow the link in the email, or accept the request through your Webflow Dashboard:

  1. Go to your Dashboard
  2. Click View all from the Workspace invitations and requests banner
  3. Click Review request for the guest Workspace you’d like to invite
  4. Review the access your guest has requested, and adjust the team members, roles, and publishing permissions as needed
  5. (Optional) Choose the Workspace to which you want to add the guests if you have more than one Workspace
  6. Toggle Require approval for additional guests added “on” or “off” (if “on,” any new team members added to the guest’s Workspace will need your approval before they are added to your Workspace). Note that this setting is only available for Workspaces on an Agency or Growth Workspace plan.
  7. Click Accept request

Note

If your Workspace has site-specific access, you can choose which sites your guest can access when reviewing their request.

How to invite a guest into your Workspace

Workspace owners and admins can invite guests to their Workspace.

  1. Go to your Dashboard
  2. Go to Team > Users >  Agency or Freelancer Guests‍
  3. Click Invite guest‍
  4. Choose the Allowed roles that your guest can assign to their team members when joining your Workspace
  5. (Optional) If you have a Growth or Agency Workspace plan, you may specify Advanced permissions
  6. Set the Can publish toggle to control whether your guest can publish your site
  7. Set the Require approval toggle to control whether your guest can freely add new team members from their Workspace or if you will need to approve each addition
  8. Click Invite

Note

If your Workspace has site-specific access, choose which sites the guest can access during the invite process.

To accept the guest invitation, your guest must have a Freelancer or Agency Workspace plan.

To cancel the invite

If you mistakenly sent an invite, you can cancel it as long as the invite is still pending. If the invite is no longer pending, you can remove the guest from your Workspace.

To cancel a pending guest invite:

  1. Go to your Workspace’s dashboard
  2. Go to Team > Users > Agency or Freelancer Guests
  3. Click the “three dots” to the right of the guest you want to cancel the invite for
  4. Click Cancel guest invite

Guest roles and permissions

Host Workspace admins or owners can further limit or grant their guest’s permissions based on other site-level roles and permissions.

Changing roles for existing guests

To change a guest’s site role or permissions as a client:

  1. Go to your Workspace > Team > Users > Agency or Freelancer guests
  2. Click View all roles next to the guest for which you’d like to change the role
  3. Locate the guest whose role you’d like to update
  4. Choose the guest’s new role from the dropdown
  5. Click Update role

This updates the guest’s role across all new and existing sites that they have access to in your Workspace.

Changing global guest role and permission settings

  1. Go to your Workspace > Team > Users > Agency or Freelancer guests
  2. Click the “three dots” icon next to a guest’s name
  3. Click Manage guests
  4. Set Allowed roles for the roles you’d like guests to be able to assign to their team members
  5. Toggle Can publish “on” or “off” if you’d like guests to be able to publish your site(s) to which they have access
  6. Toggle the Require approval for additional guests added “on” or “off” (if “on,” any new team members added to the guest’s Workspace will need your approval before they are added to your Workspace)
  7. Manage the sites to which you want guests to have access
  8. Click Update

Note

Can publish and Require approval permissions are only available to Workspaces on Growth or Agency Workspace plans. Customers on these Workspace plans can also customize a guest’s role or publishing permissions on a site-by-site level. 

Changes made to your global guest settings will only apply to new guest team members added by your guest. You can update the roles or permissions for existing guests in your Workspace using the steps above.

How to remove a guest Workspace from your Workspace

When you remove a guest Workspace from your Workspace, all team members in the guest Workspace will no longer have access to your Workspace or any of its sites, unless you re-invite them to the Workspace.

To remove a guest Workspace from your Workspace:

  1. Go to your Workspace > Team > Users > Agency or Freelancer guests
  2. Click the “three dots” icon to the right of the guest Workspace you want to remove from your Workspace
  3. Click Remove from Workspace
  4. Click Remove

How to remove a single guest team member from your Workspace

  1. Go to your Workspace > Team > Users > Agency or Freelancer guests
  2. Click the guest Workspace the team member is in
  3. Click the “three dots” icon to the right of the guest’s name
  4. Click Remove from Workspace

How to view a list of your guest Workspaces

The guests in your Workspace are listed in Workspace > Team > Users > Agency or Freelancer guests
