Control CMS Collection access

Updated

Restrict CMS editing permissions at the collection level.

Note

The ability to manage CMS access is only available for specific Enterprise plans and partners.

Site managers can control which Collections each team member can edit. This lets you bring in collaborators for specific tasks while keeping sensitive areas restricted. For example, you might give content editors access only to the blog Collection so they can publish posts without editing other Collections (e.g., job listings, team directory, or case studies).

Site roles restrictions

Site admins can edit access to some or all CMS collections for members with these site roles:

  • Designer, Marketer, or Content editor site roles
  • Custom roles based on Designer, Marketer, or Content editor

It’s not possible to edit the default CMS collection access for these roles:

  • Reviewer — can’t edit CMS content from any Collection
  • Site manager — has access to edit all Collections in the site

How to limit collection access

You can restrict access to collections for existing team members from the Site access settings for each site.

To control which CMS collections a member can edit:

  1. Go to Site settings > Site access
  2. Click the Collections icon in the CMS edit access column for an eligible member
  3. Deselect collections you don’t want them to edit
  4. Select collections you want to allow them to edit
  5. Click Save

Good to know

For new team members, you can also limit their CMS access during the invite process.

What restricted users can and can’t do

Members with restricted access to some Collections will now see a View-only Collections section in the CMS tab in Webflow. Collections they’re restricted from are collapsed in this new section. These members can expand View-only Collections to preview content — but they can’t:

  • Create, edit, or delete Collection items in view-only collections
  • Edit dynamic content on the canvas tied to view-only collections — those fields will be locked

Understand default behavior and limitations

  • Ecommerce collections — it’s not possible to restrict edit access to these collections
  • New CMS Collections — unrestricted members (i.e., their CMS edit access is set to “All”) gain access to new Collections automatically. If a member is restricted from some Collections, new Collections are automatically restricted from them
  • Static content — only dynamic content is restricted from being edited. If a member is restricted from a Collection, they are still able to edit static content on related Collection Pages
